Purpose of processing personal data and of the register
We use personal data for business purposes, such as customer care or partnership management, or for sales, marketing and recruitment purposes. We process personal data in order to fulfil our company’s legal and contractual obligations, or with the person’s consent. The basis for processing data is the controller’s legitimate interest.
 
Data content
We collect the following personal data from our customers, partners and job applicants: name, e-mail address, telephone number, company and position, company address information. We also collect other information that has been provided to us, such as newsletter subscriptions, product orders and customer feedback. Any documents provided to us by job applicants, such as CVs, are collected and stored responsibly.

Regular data sources
Data in the register has been obtained either from online forms sent via our website, from public registers, public sources, or in meetings between customers and Keypoint employees. Data regarding potential customers have been collected from publicly available sources. This data describes the person’s position or duties, or the performance of such duties in the public sector or in business life. The data may also have been collected by telephone.

 
Regular disclosures
We have taken steps to ensure that all our service providers comply with data protection legislation. We regularly use the following service providers: Wix website builder and Hubspot marketing automation system.

Transfer of data outside the EU
Data included in our register of contacts is stored on Google, HubSpot and Wix service platforms, in accordance with these companies’ service descriptions.
 
Protection of personal data
Personal data is processed confidentially in password-protected systems. Access to personal data is only granted to persons who have signed a non-disclosure agreement, and who require access to this data to perform their professional duties.

Duration of processing
We process personal data only for as long as we have a statutory right or obligation to do so.

Automated decision-making and profiling
We do not use the data for automated decision-making or profiling.

Rights of the data subject

  • Right of access
    The data subject is entitled to check the personal data we have stored. 

  • Right to rectification
    The data subject is entitled to request rectification of incorrect or incomplete information concerning them.

  • Right to object
    The data subject is entitled to object to the processing of personal data if they feel that personal data has been processed unlawfully. 

  • Prohibition of direct marketing
    The data subject has the right to prohibit the use of data for direct marketing.

  • Right to erasure
    The data subject has the right to request their data be erased if the processing of their data is no longer necessary. We will process the request for erasure, after which we either erase the data or offer a well-argued reason for not doing so. 

    The controller may have a statutory or other right not to erase the data as requested. The controller is required to keep the accounting records for a period (10 years) specified in the Accounting Act (Chapter 2, Section 10). Therefore, any accounting-related material cannot be erased before the specified time limit has expired.

  • Withdrawal of consent
    If the processing of the data subject’s personal data is based solely on consent, and not, for example, on a customer relationship or membership, the data subject may withdraw their consent.

    The data subject may file a complaint to the Data Protection Ombudsman regarding the decision.

    The data subject is entitled to demand that we restrict the processing of the disputed data until the matter is resolved.

  • Right of appeal
